Information We Collect
We collect information you give us when you create an account or contact us, including your name, email address, company and any details you include in messages to our support team.
We collect information about how the service is used, including records our servers keep automatically such as IP address, browser type and the requests made to the service.
We collect the schedule files and project data you upload for validation.
We use cookies and similar technologies, described under Cookies below.
How We Use It
We use this information to:
- • provide, maintain and support the service you have signed up for;
- • process payments and manage your subscription;
- • keep the service secure and investigate misuse;
- • respond to your questions and provide support;
- • improve the service and develop new features;
- • send you service-related messages, and marketing messages where you have asked to receive them.
If we ever intend to use your information for a purpose that is materially different from the one it was collected for, we will tell you first.
Cookies
Some cookies are required for the Schedule Validator application to work. These keep you signed in, keep your session secure, protect the sign-in page against automated abuse, and remember your cookie choice. The application does not work without them.
We also offer optional session recording and analytics cookies. These let us replay how the application is used so we can find and fix confusing screens. Your schedule data is masked and does not reach the recording. Recordings are collected and assembled by Microsoft, which uses that data for its own purposes as well as ours, including advertising. Some of Microsoft’s cookies can recognise your browser on other websites.
We do not display advertising in Schedule Validator and we do not sell your personal information.
Our Cookie Policy sets out every cookie, who sets it, how long it lasts, what the recordings contain, and how to change your choice. It governs the detail of how cookies work in the application.
Most browsers also let you block or delete cookies through their settings. Blocking the required cookies means you will not be able to sign in.
Information Sharing
We do not sell your personal information.
We share personal information with service providers who help us run the service, and only so they can perform that work for us. These include our cloud hosting provider, our payment processor, our transactional email provider and our customer relationship management provider. They receive contact and account details, and only what each needs to do its job. Each is bound by a data protection agreement and processes the information on our instructions rather than for its own purposes. Cookie and session-recording data is not sent to them.
Session recording data is different. It goes to Microsoft, which handles it as an independent controller under its own policies rather than on our instructions. We cannot control or restrict what Microsoft does with it, and we cannot delete Microsoft’s copy on your behalf. Our Cookie Policy explains this and points you to Microsoft’s own process.
We may disclose information where we are legally required to, or where we reasonably believe it is necessary to protect the rights, property or safety of Schedule Validator, our customers or the public.
If Schedule Validator is involved in a merger, acquisition or sale of assets, we will keep your information confidential and will tell you before it becomes subject to a different privacy policy.
Where Your Information Is Held
The service is operated from the United States and your information is processed there. Our cloud hosting provider is Microsoft Azure.
Where we transfer personal information out of the European Economic Area or the United Kingdom, we rely on the EU-US and UK-US Data Privacy Framework and, where needed, on Standard Contractual Clauses.
How Long We Keep It
- • Account and schedule data: 90 days after your subscription ends, then deleted.
- • Support correspondence: 24 months.
- • Sales and marketing records: 24 months from our last contact with you.
- • Session recordings: 30 days, then deleted from our account.
- • Your cookie choice and our record of it: 12 months, after which we ask again.
- • Application monitoring data: 30 days.
Microsoft keeps and uses the session recording data it collects on its own account, on its own timetable. Our 30-day period does not govern that.
Where the law requires us to keep something longer, we will.
Your Choices and Rights
You can review and update the information held in your account through the Schedule Validator dashboard at any time.
Depending on where you live, you may have the right to ask us for a copy of your personal information, to correct it, to delete it, to restrict or object to how we use it, to receive it in a portable format, and to withdraw consent where we rely on it.
To make a request, email privacy@sylomgmt.com. We will respond within 30 days. We may ask you to confirm your identity first. We will not treat you differently for asking. We may decline requests that are repetitive, that would require disproportionate effort, or that would compromise the privacy of someone else, and we will explain why if we do.
Where the information you are asking about is held by Microsoft as an independent controller, we will tell you so and point you to Microsoft’s own process.
If you are in the EEA or the UK and you are unhappy with how we have handled your information, you can complain to your local data protection authority. You may also raise it with our representative for your region, listed above.
Information Security
We take appropriate technical and organizational measures to protect information against unauthorised access, alteration, disclosure or destruction. Access to personal information is limited to the employees, contractors and agents who need it to do their jobs, and they are bound by confidentiality obligations.
Changes to This Policy
We may update this policy from time to time. We will not reduce your rights under it without your consent. Any change will be posted on this page, and where a change is significant we will give you clearer notice, such as an email. Earlier versions are kept so you can see what changed.
